How we handle your information

Who we are
Imamia Mission London UK (registered charity number 269886) is the organisation responsible for this website and for the information described on this page. You can contact us at imamiamissionuk@gmail.com or 020 8554 9988.
What we collect, and why
We only collect what each form on this site actually asks you for:
| Where | What we ask for | What it's used for |
|---|---|---|
| Contact form | Your name, email address, and your message | Replying to you |
| Membership application | Name, date of birth, address, postcode, phone number, email, and the names of any family members you add | Considering your application, and maintaining a membership register if you are approved |
| Jaloos volunteering | Name, phone number, profession, age, gender, and whether you are first-aid trained | Organising volunteers for the Ashura procession |
| Event sign-ups | Your name, plus whatever else that particular sign-up asks for (for example a phone number, your age, or any allergies). You can see exactly what is being asked on the form before you submit it. | Estimating numbers for an event and organising it |
We don't ask any of these forms for more than they need for that purpose. If a field ever looks unnecessary, please tell us.
Our legal basis for using this information
Where you fill in a form, we rely on your consent in submitting it — you can withdraw that at any time by asking us to delete your information (see "Your rights" below). For membership records specifically, we also rely on our legitimate interest in maintaining an accurate register of our members, as a registered charity.
How long we keep it
We keep information for as long as it's needed for the reason we collected it, and no longer. A declined membership application, for example, does not need to be kept indefinitely. We don't currently have a fixed retention schedule written down for every form — this is something we intend to formalise.
Who we share it with
We don't sell or share your information with anyone for marketing purposes. It is stored on our website's database, hosted by our hosting provider (IONOS) on servers in the EU/UK. If you donate through a PayPal button on this site, that payment is handled entirely by PayPal under their own privacy policy — we never see or store your card details.
Keeping your information secure
Passwords for anyone with access to the admin area are stored using one-way encryption, never as plain text. The site is served over HTTPS, and every form is protected against common forms of automated abuse. Access to personal information in the admin area is restricted to authorised administrators.
For security purposes, we automatically record the IP address of anyone submitting a form, to prevent spam and abuse. These records are kept briefly and are not linked to your name unless you also gave it to us in the same form.
Your rights
Under UK data protection law, you have the right to:
- ask what personal information we hold about you
- ask us to correct it if it's wrong
- ask us to delete it
- ask us to stop using it, or restrict how we use it
- ask for a copy of it in a portable format
To use any of these rights, contact us using the details above. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, if you think we have not handled your information properly.
Children
Our madressa currently enrols in person rather than online, so we do not collect children's information through this website.
Changes to this policy
We may update this page as the site changes. The date at the top shows when it was last updated.
